Junior Finance and Admin
ESSENTIAL FUNCTIONS
Accounting Support:
- Assist with managing accounts payable and accounts receivable, including processing invoices, preparing payment schedules, and handling receipts.
- Maintain and update financial records in accounting systems. Ensure that transactions are recorded accurately and on time.
- Assist in reconciling bank statements with internal financial records and resolving discrepancies.
- Support the payroll process by ensuring that timesheets are completed and accurate, and assisting with any payroll-related inquiries.
- Track and record expenses, ensuring they are within the company’s budget.
- Help prepare financial reports, such as balance sheets, income statements, and cash flow statements, on a regular basis.
Administrative Support:
- Provide day-to-day administrative support, including managing office supplies, organizing files, and maintaining office equipment.
- Schedule meetings, appointments, and coordinate calendars for team members or management.
- Assist in preparing documents, reports, and presentations for the accounting and administrative teams.
- Handle phone calls, emails, and correspondence, ensuring effective communication both internally and externally.
- Maintain accurate and organized filing systems for both accounting and administrative records.
- Provide assistance with administrative HR tasks, such as processing leave requests and maintaining employee records.
Additional Responsibilities:
- Assist with special accounting and administrative projects as needed.
- Provide support to management or other departments with ad hoc tasks.
JOB SPECIFICATIONS:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred).
- Alternatively, an associate degree with relevant accounting coursework or experience is acceptable.
- Proven experience (1-3 years) in accounting, administration, or office support roles.
- Experience with accounting software (e.g., QuickBooks, Xero, or similar) is preferred.
- Familiarity with basic financial principles, accounting processes, and administrative tasks is a plus.
- Basic understanding of accounting principles, financial transactions, and recordkeeping.
- Strong attention to detail to ensure accuracy in financial records, documentation, and office operations.
- Excellent time-management and organizational skills, with the ability to handle multiple tasks and prioritize effectively.
- Good written and verbal communication skills for interacting with colleagues, clients, and vendors.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Familiarity with accounting software and office management tools is a plus.
- Ability to identify issues and offer practical solutions to accounting and administrative problems.
- Strong ability to handle sensitive information with discretion and confidentiality.
